AI bookkeeping inside ChatGPT or Claude works by connecting a bookkeeping app to the assistant, so it reads and updates your stored records instead of whatever you paste into the chat. With PennyBot, you add PennyBot as a connector in ChatGPT, Claude, Gemini, Grok or Perplexity, sign in to PennyBot and approve the connection, then ask in plain English: "What did I spend on software last month?" The assistant answers from your PennyBot data and can categorize or record transactions there. PennyBot keeps the books. Your assistant becomes the way you talk to them.

What actually changes

The big change is where the bookkeeping happens. For years, keeping books meant opening a separate app, learning its menus and remembering to come back. No wonder so many freelancers fall behind, and if you're tired of that cycle, this is the part that changes. With a connected assistant, the books live in one place and you reach them from the chat window you already have open all day.

That's different from pasting a bank export into a chatbot. Pasting gets you a one-off answer about one batch of text, and nothing is saved as a record. (We cover what a plain chatbot can and can't do in our guide on how to use ChatGPT for bookkeeping.) A connected assistant works on the same stored transactions every time, so a category you fix today is still fixed in April.

Our view: for most freelancers, the assistant you already use every day is a better front door to your books than one more dashboard you'll forget to open.

How the connection works

The technology underneath is called MCP (Model Context Protocol). It's an open standard that lets an AI assistant use tools inside another app, with your permission. You don't need to know how it works to set it up. Here's the whole process:

  1. Pick a plan. Both PennyBot plans include AI assistant connections. Current plans are on the pricing page.
  2. Add PennyBot to your assistant. Paste PennyBot's address, https://pennybot.io/mcp, where your assistant asks for a connector or server URL. In PennyBot, Settings › AI Assistants has the steps for each assistant.
  3. Sign in to PennyBot. Your assistant opens PennyBot's sign-in screen, which names the assistant before you approve. There's nothing to copy or store.
  4. Start asking. Questions, categorizing, recording transactions and reports all happen in the chat.

Which assistants can connect? ChatGPT, Claude, Gemini, Grok and Perplexity, and also apps on your computer that sign in the same way, such as Claude Code.

One caveat: where the connector setting lives inside each assistant, and which of that assistant's own plans allow connectors, is up to the assistant's maker and can change. If you can't find the setting, the assistant's own help pages are the place to check.

What your assistant can do once connected

PennyBot gives a connected assistant 35 tools. They fall into three rough groups:

Group Examples
Read List accounts and balances, list or search transactions, spending and income summaries, net worth
Write Categorize one transaction or up to 1,000 at once, add manual transactions, edit notes and descriptions
Import and rules Preview an import before anything is written, import up to 5,000 rows per batch, find likely duplicates, save a rule like "Uber is Travel"

In practice, that turns into requests like these:

"Show me everything over $200 last month that isn't categorized yet."

"Anything from Adobe is Software from now on."

"Record a $64 parking charge from yesterday as Travel."

"Give me my spending by category for the third quarter."

The rule request is the one people underrate, because it means you could set a merchant's category once and never think about it again. Categorization in PennyBot follows your own rules first, and they always win. Next comes merchant memory: correct a merchant once and PennyBot files it that way next time. Anything still unknown goes to AI, which only assigns a category when it's at least 70% confident. Everything else waits for your review rather than getting a guess.

What stays in PennyBot

The assistant is the conversation. PennyBot is the record. That split matters, because it means your books don't depend on which chat you happened to use.

PennyBot also has its own chat inside the app, with a monthly message allowance. Once that runs out, the same questions keep working through your connected assistant.

Security and control

Assistants connect by signing in, not by sharing a secret you paste somewhere. You approve each one on PennyBot's own sign-in screen, and Settings › AI Assistants lists every connection with a Disconnect button.

Each connection is tied to exactly one PennyBot user, so an assistant only sees the account that signed in. Accounting connection tokens are encrypted at rest, and you can turn on authenticator-app two-factor sign-in for your PennyBot account.

Limits worth knowing

This setup is useful, but it isn't magic, and a few limits are worth knowing before you start.

PennyBot doesn't connect to your bank. Transactions come in by CSV import, manual entry, your connected assistant recording them, imports from QuickBooks, Xero or Wave, or bank-statement PDF upload on the Professional plan.

Receipts are stored, not read. You can upload receipt photos and keep them with your records, but PennyBot doesn't read them or match them to transactions.

A connected assistant can change your books. That's the point, but it also means you should glance at what it categorized, especially early on. The change history makes undoing a bad batch quick.

And none of this is tax advice. The deductible-category report groups expenses in a Schedule C style for tax time, but whether something is deductible depends on your situation. Confirm with a tax professional.

Frequently asked questions

Which AI assistants can connect to PennyBot?

ChatGPT, Claude, Gemini, Grok and Perplexity can all connect to PennyBot, and so can apps on your computer that sign in the same way, such as Claude Code. You add PennyBot's address as a connector in the assistant, then sign in to PennyBot and approve the connection. Settings › AI Assistants in PennyBot has the steps for each one.

Do I have to give my AI assistant a password or a code to copy?

No. You sign in to PennyBot on its own sign-in screen when the assistant asks, and that screen names the assistant before you approve it. There's nothing to copy or store. You can see every connected assistant in Settings › AI Assistants and disconnect any of them with one click whenever you want.

Can ChatGPT or Claude change my books once connected?

Yes. A connected assistant can categorize transactions, record new ones, save categorization rules and import transactions, not just read them. PennyBot keeps a history of every category change, whether the AI made it or you did, and you can undo changes one at a time or in bulk. It's still smart to review what your assistant categorizes, especially in the first few weeks.

Do I need to stop using QuickBooks or Xero?

No. PennyBot imports your transactions and categories from QuickBooks, Xero or Wave, and category changes you make in PennyBot sync back to QuickBooks and Xero. PennyBot doesn't create new transactions in those tools, and Wave is import only. You can keep your accounting software for your accountant and use the connected assistant for day-to-day questions.
